Managing Mailboxes
You can add mailboxes for new staff, create shared email aliases, and reset passwords from the Mailcow admin panel.

Log in with the admin credentials from Brandon's handoff email.
Add a mailbox for a new staff member
- Log in to the admin panel
- Click Email in the top menu → Mailboxes
- Click Add mailbox
- Fill in:
- Username — the part before the @ (e.g.,
sarah) - Full name — the staff member's name (shows in email "From" field)
- Password — create a strong password and share it securely
- Quota — leave at the default (or increase for heavy users)

- Click Add
The new mailbox is ready immediately. Share the login URL and credentials with the staff member so they can set up their email client.
Create a shared email alias
Aliases let multiple people receive email at a single address (e.g., info@, appointments@). Email sent to the alias is delivered to whoever you choose.
- Log in to the admin panel
- Click Email → Aliases
- Click Add alias
- Enter the alias address (e.g.,
info@yourdomain.com) - In Goto field, enter the real mailbox(es) that should receive the email
- Separate multiple addresses with commas
- Click Add
Email to info@yourdomain.com will now be delivered to the mailboxes you specified.
Reset a staff member's password
- Log in to the admin panel
- Click Email → Mailboxes
- Find the mailbox and click Edit (pencil icon)
- Enter and confirm the new password
- Click Save
Let the staff member know their new password. They'll need to update it in their email client settings too.
Change your own password
You can change your mailbox password without going through the admin panel:
- Go to
https://mail.YOUR_DOMAIN.woodhead.tech - Log in with your email and current password
- Click your name in the top right → Settings
- Click Password → enter your current and new passwords
- Click Save
Remove a mailbox (staff member left)
Deleting a mailbox permanently deletes all email in it. Export or forward any important messages first.
- Log in to the admin panel
- Click Email → Mailboxes
- Check the box next to the mailbox
- Click Delete selected → confirm
Consider creating an alias pointing to another mailbox first, so any emails still sent to the old address don't bounce.
